The Academic Senate Committee on Student Activities met on October 10, 2019 at 10am in L413
Committee Members in Attendance:

Business:
The meeting was called to order at 10:10
Approval of Minutes:
- Review and approve minutes from October 10, 2019 by voice vote.
- Approve agenda for November 6, 2019 by voice vote.
Old Business:
- Goals for this Semester:
- Committee officially does not have new charges; we will continue to work on things from last semester.
- Chair Kimberly Riegel will work on getting the charges for committee to present at the next meeting.
- Student Survey:
- Chair Kimberly Riegel Thanked everyone for their feedback and contributions to the Survey.
- May from Marketing had a few questions regarding the survey, discussed a few minor corrections and word changes in the survey.
- Committee decided to leave the wording the same on the survey questions, just make the appropriate change from tigermail to campus email.
- Conversation about student email, administrative offices should only be using Office 365 to contact students, due to FERPA regulations-we should only be communicating through campus email.
- Survey was updated and sent to Victor Fichera for review.
- Next step is for Marketing and VP Di Dio to approve the survey.
- Academies Collaboration:
- Update: Associate Dean for Academics, Michael Pullin invited to next meeting to discuss.
- Marketing Discussion (Angelica May):
- May discussed the different communications/announcements that go out weekly to students and to faculty/staff.
- May shared a copy of what the weekly events page looks like. Ms. May informed us that this is her role to send out every Monday to students.
- May discussed the process of getting an event on the weekly page. She would need at least 2-weeks’ notice in order to get it online properly.
- Once the event is submitted on time, it automatically gets put on Ms. May’s newsletter and QCC Instagram.
- May discussed that she sends out an events newsletter 2x a month through email.

- May discussed Marketing’s way of keeping track of student who read their emails. It is done through a data warehouse called Retain-CRM.
- They also use a scheduling tool called Hook Suite.
- May discussed that a lot of events don’t get to marketing in time, which causes the events not to be posted online.
- Chair Kimberly Riegel suggested that Training Video’s (Short Video’s) could possibly be helpful for Club Advisor’s and Staff who are not sure what the process is or how to go about it.
- May stated that it is very important that when an event is being submitted for posting, that the description is very detailed, has the correct information and is ready to be uploaded. If Marketing can’t understand it or it doesn’t have enough information, they are not going to be able to post it.
