Update the committee’s guidelines and/or create a “flow chart” so that all committee members become well aware on how the committee works. This should include the below information with a time frame:
Procedures required to setup committee slate - may refer to 2012 committee guide - include criteria that CoC members consider when assembling the committee slate (e.g., who is placed on a committee and why, in accordance with our Academic Bylaws). Procedures required to setup elections to the Senate - may refer to 2012 committee guide.
COMMITTEE GUIDE ADDENDUM WAS UPDATED JUNE 2023 THAT ESTABLISHED A TIME FRAME.
Share the current excel file used to populate committees with the SC and technical support (STO and IT).
EXCEL FILE WAS SHARED WITH THE STEERING COMMITTEE PRESIDENT AND RAJESH VASWANI. THE EXCEL SHEET USED FOR THE SPRING 2023 SEMESTER HAS BEEN UPLOADED TO THE C ON C WEBSITE AS A MODEL.
Continuously inform technical support of any changes to committee compositions and any changes to committee names and status.
INFORMATION WAS SHARED WITH RAJESH VASWANI
Create a fully electronic process for the nomination petition for Senate seats (i.e., signatures should be gathered electronically for Faculty at Large, HEO, CLT, & Adjunct). Consult with the Steering Committee Chair as he created and assisted in facilitating this last year.
WITH THE ASSISTANCE OF RAJESH VASWANI AND STEPHEN DAHLKE, THE C ON C UTLIZED QUALTRICS SOFTWARE AND BIG PULSE TO ACCOMPLISH NOMINATIONS
Consider the use of another election platform.
GIVEN THAT IT WAS TOO EXPENSIVE TO PURCHASE A NEW C ON C DATABASE, THE C ON C UTILIZED QUALTRICS SOFTWARE AND BIG PULSE. IT WAS DECIDED TO SUNSET THE OUTDATED C ON C DATABASE. SEE JANUARY 2023 MONTHLY REPORT FOR A FULLER DISCUSSION OF THIS DECISION
Maintain the committee’s website updated with current members of the CoC, upcoming meeting times posted, and an email of who to contact for those who would like to attend a meeting.
CHAIRPERSON DANNY SEXTON UPDATED THE C ON C WEBSITE IN EARLY JUNE 2023 TO MAKE IT EASIER TO READ AND FIND NECESSARY INFORMATION.
Upload onto the CoC website the current members of the Standing Committees of the Academic Senate.

Summary of actions not covered by above
Assign members of the CoC to certain committee tasks.
NOT COMPLETED BUT WAS DISCUSSED DURING THE MEETINGS AND VIA EMAILS. IN THE COMMITTEE GUIDE ADDENDUM, SUGGESTIONS FOR HOW TO ACHIEVE THIS TASK FOR THE FOLLOWING ACADEMIC YEARS HAVE BEEN MADE.
Committee recommendations for upcoming year
- With the assistance of the Steering Committee, update the General Committee Guide, which can be found on the Committee on Committees document and articles page.
- Working with the Steering Committee and Chairs of Individual Committees, reconsider the number of members each committee currently has. Should the number be decreased, increased, and/or remain the same?
- Establish set meeting dates/times for the C on C meeting.
- Encourage all standing committees to establish set meeting dates/times.
Individual member contributions and thanks
